Port Lympne Animal Park - Case Study

Port Lympne and Howletts are two leading wild animal parks in Kent. Founded by John Aspinall to preserve and breed rare species, they are now home to over 1000 animals including the UK’s largest heard of African Elephants.

The HR team at Port Lympne are responsible for the administration of over 350 keepers, service and support staff. This was managed by a separate clocking in system, HR system and Payroll package. HR manager Helen Jones recalls “We were operating an old system for staff clocking but it didn’t integrate with our system and didn’t work very well so we had to back it up with a time sheet system. Staff had really lost faith in it. We also had an existing HR manager package but it was very limited and didn’t integrate with either our payroll or clocking system.

This resulted in the team needing to input the same data twice, once into the HR system and once into the payroll system. We were really looking for a reliable way to track attendance, cut down on the time consuming data entry and dispense with the handwritten reports.

Following a review of available systems, the team opted for an integrated time and attendance, HR and payroll system from Mitrefinch. They also purchased an additional module allowing them to allocate workers against tasks and track costs.

The full system integration means the team only has to enter information once and it is automatically populated across the system. Administration is reduced and the quality of the data is improved as there is consistency across all the systems.

Work time data is automatically exported to the payroll system once anomalies have been checked by supervisors, ensuring the payroll run is as accurate as possible.
